Privacy Policy

1. Scope

This privacy policy applies to internal accounting and reconciliation tooling operated by Pluto Sound LLC ("Pluto Sound", "we", "us"). The tooling is used solely by Pluto Sound's owners and authorized administrators to reconcile bookkeeping data between QuickBooks Online and the company's other financial systems. The tooling is not offered as a public product and does not have external customers.

2. Data we access

When connected to a QuickBooks Online company account that we administer, the tooling reads invoice, customer, vendor, item, and journal-entry data from QuickBooks via the Intuit Developer API using OAuth 2.0 access tokens. The tooling reads existing accounting data and may, in limited cases, write entries back to that same QuickBooks Online company. The tooling never accesses other QuickBooks Online companies that we do not administer.

3. How data is stored

OAuth 2.0 access tokens, refresh tokens, and Realm IDs are stored locally on Pluto Sound owners' devices and in a private password manager vault. Accounting data fetched from QuickBooks is held only in the active reconciliation session and in private working spreadsheets that Pluto Sound's owners control. We do not store accounting data on any public server, third-party analytics service, or cloud database accessible outside of Pluto Sound.

4. Sharing

We do not sell, rent, or otherwise share QuickBooks data with third parties. The only parties that see this data are Pluto Sound's owners and authorized administrators in the course of normal bookkeeping work.

5. Data retention and disconnection

OAuth tokens are retained for the lifetime of the connection and rotated per Intuit's published refresh-token policy. To disconnect the tooling from a QuickBooks Online company, an authorized administrator can revoke access from QuickBooks Online's "Apps" settings; we will delete the corresponding stored tokens and Realm ID upon disconnection.
